Welcome to Vietnam Private Car Transfers. By booking our services, you agree to the terms and conditions outlined below. We aim to keep our booking procedures clear, transparent, and hassle-free.
1. Pricing & Rates
- Rates Per Vehicle: All private transfer prices are quoted per vehicle, not per person, based on agreed routes and vehicle categories.
- Inclusions: Standard quotes include A/C vehicle transport, an experienced driver, fuel, highway toll fees, parking fees, and complimentary bottled water.
- Exclusions: Unless explicitly specified in your booking voucher, prices do not include entrance tickets, meals, tour guide fees, accommodation, personal expenses, or driver tips.
- Surcharges: Additional fees may apply for public holiday transfers in Vietnam, overnight journeys (between 22:00 and 05:00), or significant route deviations requested during the trip.
2. Booking & Confirmation
- Request Process: Bookings can be requested via our website form, email, or official WhatsApp/Zalo.
- Confirmation: A booking is deemed confirmed once our travel team issues an official written confirmation detailing your itinerary, vehicle type, pickup date, and price.
- Trip Details: Passengers must provide accurate details, including full names, passenger counts, luggage numbers, pickup/drop-off locations, and flight numbers (for airport transfers).
3. Payment Terms
- Deposit: A deposit (typically 50%) may be required upon booking confirmation to secure your driver and vehicle arrangement.
- Remaining Balance: The remaining balance can be paid directly to our driver in cash (USD or VND) upon completion of the transfer, or settled prior to departure via online payment.
- Accepted Payment Methods: Cash, Credit Card (Visa/Mastercard), PayPal, Wise, or Bank Transfer.
Note: Online credit card and PayPal processing fees (3%–5%) may apply.
4. Pickup Procedures & Waiting Times
- Airport Pickups: Drivers monitor incoming flight schedules using provided flight numbers. Standard complimentary waiting time is 60 minutes after flight arrival. If you experience delays at customs or baggage reclaim, please contact us immediately via WhatsApp.
- Hotel / Address Pickups: Drivers arrive 10–15 minutes prior to the scheduled departure time. Complimentary waiting time for hotel or private address pickups is 30 minutes.
- Unannounced Delays: Extended waiting times beyond the standard allowance without prior notice may incur an hourly waiting fee.
5. Cancellation & Amendment Policy
We understand that travel plans can change. Cancellations and modifications must be submitted in writing via email or WhatsApp. The official cancellation time is defined as the exact moment our team receives your written notice.
5.1. Cancellation by Customer
If you cancel all or part of your booking, cancellation fees will apply based on the service type and notice provided:
For Daily Tours & Private Transfers:
- 7+ days before departure: Free cancellation (No charge).
- 3 to 6 days before departure: 50% of the total tour/transfer price.
- Within 48 hours of departure (or No-Show): 100% of the total tour/transfer price.
For Multi-Day Package Tours:
- More than 60 days before arrival: Free cancellation (No charge).
- 31 to 60 days before arrival: Non-refundable deposit retained.
- 15 to 30 days before arrival: 30% of the total tour price.
- 8 to 14 days before arrival: 50% of the total tour price.
- Less than 7 days before arrival: 100% of the total tour price.
5.2. Cancellation by Vietnam Private Car Transfers
In cases of force majeure, such as severe weather, natural disasters, political unrest, or war, we may be forced to cancel a confirmed booking. In these events, we will work with you to arrange alternative travel dates or issue a 100% full refund of your deposit or payment.
Note: Vietnam Private Car Transfers is not responsible for secondary or incidental expenses resulting from a canceled trip, including but not limited to visa fees, vaccination costs, travel insurance excesses, or non-refundable flight tickets.
5.3. Amendments & Route Modifications
Schedule adjustments or route changes requested prior to your departure are free of charge, subject to vehicle and guide availability. Any changes that alter the total route distance, vehicle class, or service duration may incur a price adjustment.
6. Vehicle Capacity & Passenger Conduct
- Luggage & Seating: Passengers must select an appropriate vehicle size (Sedan, SUV, or Passenger Van) based on group size and total luggage. Excess luggage that prevents safe seating may require a vehicle upgrade at the customer’s expense.
- Passenger Conduct: Smoking, illegal drugs, and excessive alcohol consumption inside the vehicle are strictly prohibited. Passengers are expected to wear seatbelts at all times.
7. Travel Insurance & Liability
- Passenger Safety: All vehicles in our network carry standard passenger transport insurance in compliance with Vietnamese traffic laws.
- Personal Belongings: Passengers are responsible for their personal belongings. While our drivers assist with luggage and double-check vehicles at drop-off, we cannot be held liable for items left behind or damaged during travel.
- Personal Insurance: We strongly advise all international travelers to hold comprehensive travel insurance covering health, flight cancellations, and personal belongings for the duration of their trip to Vietnam.
